Scope and roles

ClinX Academy LLC operates Practice Lattice, separately from the independent law firm providing legal services. When you request services, we share the conflict information you submit with the participating firm so it can conduct its conflicts review and decide whether to offer an engagement. The firm is identified privately before you authorize payment or sign an engagement. It controls its own professional records and obligations.

Information we collect

We collect business contact and organization information, conflict names, account and authentication records, service selections and accepted terms, payment and signature status, support communications, security logs, and information you choose to provide. Payment card details are handled by Stripe rather than stored as full card numbers in Practice Lattice. Electronic signatures are handled through our signature provider.

How we use information

We use information to respond to requests, verify identity, support the conflicts and engagement process, operate Formation workspaces, process authorized transactions, provide support, prevent fraud and abuse, maintain audit evidence, improve the service, and meet legal obligations.

How we disclose information

We disclose information to the applicable law firm, service providers that help us host, authenticate, communicate, process payments, complete signatures, monitor security, and provide approved AI functionality, and to authorities or other parties when required by law or needed to protect rights and safety. We do not sell personal information for money or use it for cross-context behavioral advertising.

Connected Slack workspaces

If an authorized client administrator connects a Slack workspace, Slack sends the workspace, member, direct-message, event, and message information needed to authenticate a direct-message request and return a response. The pilot does not read or answer channels, private channels, group direct messages, files, or email addresses. Practice Lattice and its approved AI provider process the direct message, a bounded window of up to 15 thread messages, and generated response for that live interaction. Practice Lattice does not retain Slack message bodies or generated Slack responses in its application database, but it retains limited installation, authorization, usage, delivery, security, terms, and audit metadata. Slack retains messages under the connected workspace’s own settings. Review the specific Slack integration terms. Do not send PHI through Slack.

Protected documents

Some restricted documents are delivered as short-lived, watermarked page images rather than as the original file. Practice Lattice retains the private source and records limited access, delivery, and security evidence. The page images expire and are not intended to create a new downloadable copy of the source document.

Cookies and scheduling

We use necessary session and security technologies. The public scheduling page provides a direct link to Calendly instead of loading its scheduler automatically; Calendly’s policy applies after you choose to open that service.

Retention and security

We retain information for as long as reasonably needed for the requested service, security and audit evidence, contractual duties, and legal requirements. We use administrative, technical, and physical safeguards designed for the nature of the information, but no system can guarantee absolute security.

Your choices

You may ask to access, correct, or delete personal information, subject to identity verification and legal, security, audit, and professional retention duties. You may opt out of nonessential marketing messages; operational and legal notices may still be sent.

No PHI and children

Practice Lattice does not accept protected health information or patient-specific data. The service is not directed to children and is intended only for authorized adult business representatives.
